Site Docs
JHA & Safety Resources for Subcontractors
Thank you for joining the Rob’s Drywall Team as one of our trusted trade partners.
We use an app called Site Docs to manage our safety and start-up paperwork.
1) TRADE SET-UP
Please follow the link below to set up your company and your banking information:
When you set up your company, the first thing it will ask you is to select your company from the list of available options.
DO NOT SELECT “ROB’S DRYWALL SERVICES LTD.” Enter YOUR company name. If your company name does not appear in the list, select “my company isn’t listed” and proceed through the process to add it. The next time you login, using the link in your work order, you will be able to simply select your company from the list.
2) USE OF THE PLATFORM
There is a link on your work orders that you will need to go through for each builder. You should only have to set up each builder once.
Use this link to be taken to the Site Docs folder for that builder. Your company set-up forms will be here but ignore them as we only need them ONCE at the initial set up. The forms in THIS location should be completed by your workers; one of each form, for each worker.
Your workers can use the QR code on the back of the Rob’s Drywall Window sign. It will take them to the same login screen when you tapped the link in your work order.
The forms in the builder location are to be completed at each Rob’s job. The most important of these is the “Field Level Hazard Assessment – 1/day”.
Please complete this daily on all projects, using the work order link or the window sign QR code.
3) COMPLETING THE “FIELD LEVEL HAZARD ASSESSMENT – 1/DAY”
- This document is required on all our sites and is part of your agreement with Rob’s Drywall Services. Our clients ask us for it regularly and we need to be able to produce it.
- Tap the “Forms” button and select the one called “FIELD LEVEL HAZARD ASSESSMENT – 1/DAY”. Select “New”.
- On the “Label” line put the actual physical address you are working at.
- On the “Tasks” line list ALL the tasks you will be performing. eg: Boarding, Taping and Clean-up.
- List one of the hazards for the work you described above. eg: “Dust in the eyes”. Repeat as necessary to produce a reasonable document.
- Rate the hazard from the list of 5 that seems reasonable. In the above example that will likely be a “3 – Minor”. Next, assess the likelihood of it happening. In this example it might be “C – Remote”
- Lastly it asks you to list “Observable controls”. Again, using the example above, you might type something like “wear eye protection”. Click the blue “REPEAT THIS SECTION” bar and repeat the process for the rest of the hazards present.
- You can also attach photos in a site docs form if you want. It helps us know what kinds of hazards our trades are dealing with in our builders’ locations.
- Scroll to the bottom of the form for the green “SIGN & SAVE” button. It will open a signature field, sign, and click save & close. You can tap “ADD SIGNATURE” for your workers to sign it as well.
4) RESOURCE FOLDER
This folder contains reference material you might need when working on our sites. Things like SDS sheets (for hazardous materials), the Occupational Health and Safety Legislation, in case an officer asks to see your access to it (required by law) and the entire safety binder we used to ask you to keep with you when you were working on one of our sites. To view any .PDF’s select “View or sign” and then “view”.
Thank you for helping us provide the service and safety our clients have come to expect. We look forward to a long and prosperous relationship, with all our valued trade partners.
If you have any questions, please do not hesitate to reach out to our Safety Representative as he is happy to assist you. Rene Querido, Rene@SafetyGroup.ca.
